AGM, June 29th, 2009

2. Approval of the agenda. - Motion to approve: Mickey Krochinsky/Rod Oliver. Approved.
3. Approval of the minutes of September 22, 2008. - Motion to approve: Mickey Krochinsky/Val Warwick. Approved.
Matters arising:
Washrooms – see section 8 of these minutes.
The playing surface will be re-surfaced this summer, date yet to be arranged.
Adult Beginner’s session wasn’t promoted by the executive.

5. Directors’ Reports.
Membership Director - reported by Mike Christian: KBC has 406 members. 236 Full Time Adults, 36 Restricted Adults, 19 Full Time Students, 107 Juniors and 8 lifetime members.
Tournament Director Linda Estabrooks reported that the Ogopogo was the only tournament that’s date had been fixed for next year. She has had requests to move the Open to spring and this is under consideration.
6. Financial Statements 2008/2009. - Motion to approve: Val Warwick/Mickey Krochinsky. Carried.
7. Budget 2008/2009. - Motion to approve: Mickey Krochinsky/Val Warwick. Carried.
8. Washroom Renovation.
Estimates for this project have all come in considerably higher than the $30,000 approved at the last AGM. The executive will have to re-appraise the scope of the project. There is the possibility of funding from Sport BC that we could possibly apply for and that is to be investigated.
9. New Badminton BC fees
Mike C explained the background to the issue during his report (attached.) There were a number of members who thought that KBC should be affiliated to Badminton BC and also a number who were against this. Discussions were long and arduous. The bottom line is that the BBC insurance does not fully cover KBC’s needs and if we were to rely on that alone then we could leave ourselves liable in certain cases. One of the options at last year’s AGM was that we would offer BBC $15 per head (and the KBC fees were raised by $5 to cover this) which we did and they refused. However, later in the year BBC relented on their position and accepted our offer but by then KBC had gone its own way. The general, though not unanimous, feeling of the AGM was that KBC should try to find a way to become part of BBC and the following motion was approved:
Motion: As part of the KBC fees continue to collect $15 per member. Purchase our own insurance from this and offer the residue to BBC.
Action: Mike C to follow up with BBC.
Our own insurance costs us about $2,500 and therefore with about 400 members this means that we would offer BBC about $3,500. Last year only about 50 members chose to join BBC which meant that they raised about $750 from us. We are hoping that BBC sees sense and accepts the offer.
10. KBC Fees
Membership fees have always been due September 1st but with the fees being set at the AGM and the AGM being in September then nobody knew what fees they were paying until late September and so the fee paying process usually dragged on even until November. With the AGM having been moved forward to June this has meant that the fees have been set well before September and therefore it is expected that existing members will pay their fees by September 1st. However, we are also able to offer early-bird discounts for members who do pay before 1st September. At the AGM the fees were effectively set at:
Full Time Adult $150
Restricted Adult $60
Full Time Student $110
Junior $60.
However, if the fees are paid on or before August 31st (October 2nd for juniors) then there will be a $10 reduction for that early payment. (Therefore those that pay early will see no increase at all.)
11. Lifetime memberships
The outgoing executive has decided to award lifetime membership Jim Freeman.
12. Bob Brooks award
The outgoing committee has decided honour Cal Bridge with this award. This is in recognition of the outstanding work that he has put in with the schools this year
13. The 2008/2009 executive was formally closed.
14. Mickey Krochinsky runs the elections for the 2009/2010 KBC executive.
