KBC Executive Meeting – August 8th, 2011
Present: Mike Christian, Val Warwick, Chuck Cey, Lyndsay Thomson, Neil Ward.
Regrets: Mike Heroux, Mike Mitson, Mickey Kroschinsky, Jennay Oliver.

Meeting brought to order at 7:10 pm.

Approval of minutes from last meeting by Lyndsay Thomson, seconded by Neil Ward.

Old Business
a. Topic: Wednesday Evening “After work” Group
A request was submitted to permit the “After work” group 2 hours of playing time, from 5 to 7 p.m. on Wednesday evenings.
While this request was discussed, it was later decided to revisit the request at a future executive meeting.
b. Topic: Monday Group, specifically Monday night ladder.
A question was raised on whether Monday evening should be open play or another ladder night given that Tuesday evening is also a ladder night. While the board discussed this question, it was later decided to revisit this question at a future executive meeting.
c. Topic: Posting Minutes of meetings
The club secretary has confirmed that the minutes of meetings have now been posted on the web site and in the hall lobby.
d. Topic: Recycling, refundable bins
Thank you to Jennay for purchasing and labeling the recycling bins.
e. Topic: Keys and Access codes
Thank you to Mike C. for arranging new keys and codes for new executive members.
f. Topic: Registration Day
Notices have been sent via email to members advising them of our registration day of August 28, 2011.

New Business
a. Topic: High Performance/Competitive Coaching
After reviewing the attendance of both the High Performance and the Competitive Training groups, it has been decided to change the program to a bi-weekly program of 3 hrs per week, allowing for more numbers each session. The program will run for 16 weeks and will cost participating KBC members $135.00
b. Topic: Junior Coaching Program
This year there will be 2 – 16 week sessions in the Junior coaching program. The first program will start September 6th and continue until December 16, 2011, while the second program will start January 9th and continue until April 26th. Times will remain the same but the cost per junior member will be $120.00 per program. Victor Yap and David Crawford have agreed to assist with coaching. Both are NCCP level 1 certified and both have first aid certificates.
c. Topic: Courts reserved for coaching
The board has agreed to give coaching a priority on court 5, Monday to Friday between 12:00 and 3:00 p.m.
d. Topic: Summer Camp
Currently in session with 25 participants. Budget presented shows an estimated profit of around $1,000.00
e. Topic: Need for 2 boxes to be constructed
It was determined that a new box is needed for used birds and a 2nd box is needed to hold racquets and goggles. The racquets and goggles are used by visiting schools and groups therefore we would need a combination lock on the box. Roger Ward has agreed to build the boxes. Additional loaner glasses will be made available for U-19 visitors and will be stored on top of the shelving behind court 4.
f. Topic: Jr. Tournaments
November and February have been suggested for our Junior Tournaments, however no specific dates have been set.
g. Topic: Shoe tags and access cards for juniors
It was explained that all juniors receive access cards so that no child will be stuck outside for any reason. The access cards are restricted to times and days scheduled for junior coaching. Shoe tags will help to identify the junior as a member.
h. Topic: Emails to KBC Members
A discussion regarding emails to be sent to members determined that we should restrict our emails so that members don’t ignore the important emails we send. Since the minutes of our meetings are posted both on our web site and in the lobby, minutes of the meetings will not be emailed to members. We will continue to send emails concerning club closures and other important issues.
i. Topic: Membership drives
Preliminary discussions regarding various membership drives were made with no decisions made. It was recommended that we set aside a time slot for new comers and that we hold an open house in September.
Beginner coaching was held last year on Sundays from 3p.m. to 5p.m. and the board is considering continuing the same format in this next season.
j. Topic: Update on insulation
We have been advised that the City of Kelowna plan to install insulation on the ceiling sometime in September and October and have agreed to clean up the loose insulation. We will keep members informed if and when there is an interruption in the days available for play. Also note that the gas heaters have been disabled pending the clean up.
k. Topic: Door Repairs
Members may have noted that the door leading to the back lane is damaged. We will ask the City to repair it for us, however the club will likely need to pay for materials.
l. Topic: Pickleball/Badminton Tournament
A suggestion was made to hold a Pickleball/Badminton Tournament and it was determined that the only way to do this would be if Pickleball was played on elsewhere since the Pickleball ball and bat could damage our floors.
m. Topic: Volunteers.
The board reminds all members that we rely on our members to help us maintain and keep our hall in good condition. Your help with small tasks keep our fees as low as they are, so please help us if you can.
The board is considering a bulletin board to be set up listing items that need attention.
